Last updated June 12, 2026.

This Privacy Policy describes how Enortic Inc ("CogniMemo", "we", "us", or "our") collects, uses, and protects personal data when you visit our website, use our application at https://app.cognimemo.com, or otherwise interact with our services.

  • Workspace data: content you or your organization connect to CogniMemo, including documents, messages, tickets, and metadata from integrated tools (for example Slack, Google Workspace, Jira, Notion, or GitHub), subject to the permissions you grant.

  • Billing information: payment details and billing contact information processed by our payment providers.
  • Support communications: messages you send to our support or sales teams.

3. How we use your information

  • Provide, maintain, and improve the CogniMemo platform and integrations.
  • Authenticate users, enforce role-based access, and generate audit trails.
  • Process agent requests, retrieve context, and execute authorized actions on your behalf.
  • Send service-related notices, security alerts, and product updates.
  • Analyze aggregated usage to improve reliability and performance.
  • Comply with legal obligations and enforce our Terms of Service.

4. AI and model training

We do not use your workspace data to train foundation models. CogniMemo processes your data only to deliver the service you configure. Enterprise customers may deploy in isolated or air-gapped environments with no outbound data flows.

5. Legal bases for processing (EEA/UK)

Where GDPR applies, we process personal data on the following bases:

  • Contract: to provide the service under our agreement with you or your organization.
  • Legitimate interests: to secure our platform, prevent abuse, and improve product functionality, balanced against your rights.
  • Consent: where required for optional features such as marketing communications.
  • Legal obligation: where we must retain or disclose data to comply with applicable law.

6. How we share information

We do not sell personal data. We share information only as described below:

  • Service providers and sub-processors that help us host infrastructure, process payments, send email, or provide customer support, under contractual data protection obligations.
  • Integration partners you authorize via OAuth or API credentials, limited to the scopes you approve.
  • Your organization administrators, according to your workspace configuration and access policies.
  • Legal and safety disclosures when required by law, court order, or to protect rights, safety, and security.
  • Business transfers in connection with a merger, acquisition, or sale of assets, with notice where required by law.

7. Data retention

We retain personal data for as long as your account is active or as needed to provide the service. Audit logs and security records may be retained for a longer period where required for compliance or dispute resolution. You or your organization administrator may request deletion subject to legal retention requirements.

8. Security

CogniMemo encrypts data in transit and at rest, supports customer-managed encryption keys on eligible plans, and maintains access controls aligned with your organization's roles. See our Security page for details on SOC 2, data residency, and audit capabilities.

9. International transfers

We may process data in the United States, European Union, or other regions you select. Where data is transferred outside the EEA or UK, we rely on appropriate safeguards such as Standard Contractual Clauses and our Data Processing Agreement.

10. Your rights

Depending on your location, you may have the right to access, correct, delete, restrict, or port your personal data, and to object to or withdraw consent for certain processing. EEA and UK residents may also lodge a complaint with their local supervisory authority.

To exercise these rights, contact support@cognimemo.com. We will respond within the timeframe required by applicable law.

11. Cookies and similar technologies

Our website and application use cookies and similar technologies for authentication, session management, security, and analytics. You can control non-essential cookies through your browser settings. Disabling required cookies may limit your ability to use the service.

12. Children

CogniMemo is not directed to individuals under 16, and we do not knowingly collect personal data from children. If you believe we have collected data from a child, contact us and we will delete it promptly.

13. Changes to this policy

We may update this Privacy Policy from time to time. We will post the revised version on this page and update the "Last updated" date. Material changes will be communicated through the service or by email where appropriate.
